About the opportunity

The Executive Officer to the Chief Executive plays a critical role in supporting operations of the Office of the CE. Acting as a trusted and reliable partner to the Chief Executive, you will apply your strong organisation, administration and stakeholder engagement skills to enable the CE to be continuously informed, prepared and supported across a wide range of key priorities.

About you - your impact and contribution

The Executive Officer to the Chief Executive plays a pivotal role in supporting the CE with a wide range of executive level administration, secretariat, stakeholder liaison and project assistance initiatives.

You will focus on ensuring the Chief Executive is prepared and informed on relevant matters and priorities in a timely manner. Every day you will manage various priorities – from leading on diary management to secretariat support at executive meetings, escalating communication across diverse stakeholders and assisting with internal events and office management.

Your ability to be collaborative, proactive, exercise sound judgement, and maintain a strong service-oriented approach will enable the Chief Executive and broader leadership team to operate effectively and efficiently.

Key Responsibilities

  • Provide high-level and fast-paced executive support including diary, inbox and correspondence management
  • Prepare and coordinate briefings, reports, presentations and confidential communication
  • Build and nurture strong professional relationships with diverse key stakeholders across Government, Minister Offices, industry, Governance Committees and the Office of the Chief Executive, ensuring high levels of professionalism and discretion at all times
  • Provide secretariat support to the Governance Committees including agenda papers, minutes and follow up of action items
  • Work collaboratively with all internal stakeholders and teams, taking the initiative to help others across the business
  • Coordinate internal social and professional development events
  • Book travel arrangements and arrange itineraries
  • Process credit card reconciliations and raise purchase orders
  • Provide office management support including being a professional point of contact for visitors and coordinating deliveries, catering and stationery
  • Provide ad hoc administration to support the Office of the Chief Executive including research tasks, finance, HR and procurement.

Skills & Experience

  • Demonstrated experience providing high-level and broad executive support to an executive leader in a complex and fast-paced environment
  • Exceptional organisation skills with initiative, attention to detail and the ability to manage multiple priorities effectively
  • Highly developed emotional intelligence and interpersonal skills, with a proven track record of working cohesively and professionally with diverse senior stakeholders
  • Ability to consistently exercise sound judgement, discretion, problem-solving and confidentiality
  • A warm and collaborative team-oriented approach and service mindset, consistently demonstrating proactiveness and eagerness to support the organisation and wider team
  • High level of proficiency and experience in using Microsoft Suite of products including SharePoint and Teams is essential
  • The ability to perform confidently under pressure, demonstrating resilience and adaptability, to resolve unanticipated tasks with sound judgement
  • Experience coordinating governance, committee or board-related activities highly regarded.
